Reunions

Reunions offer Old Girls a fantastic opportunity to reconnect with Kambala and celebrate the friendships formed during their school years. These gatherings allow you to reminisce and create new memories with classmates. While KOG provides support, such as access to your class list and promoting your invitations, most of the organising will be up to you and your year group. So, read the helpful tips below and start planning early to ensure a memorable reunion!

Helpful tips

Planning a reunion can be an exciting yet challenging task, and we want to ensure you have all the support you need. Below are some helpful tips to guide you through the planning process, from assembling your committee to coordinating a tour of the school.

Contacts

Obtain your cohort's list from the KOG Alumnae Relations Manager at kog@kambala.nsw.edu.au. Many may not have updated their details, so use WhatsApp groups, Facebook, and email to reach everyone. Consider creating a Class of [Year] group to invite people.

Committee

Establish a small reunion committee. It’s essential to include at least one boarder on your committee to help reach out to fellow boarders and encourage their attendance.

Dates

Choose a couple of potential dates for your reunion and check with your cohort on Facebook to see which works best for most girls. It’s also a good idea to consult with overseas classmates to determine if a specific date will facilitate their return. KOG recommends hosting reunions at venues such as restaurants, hotels, or clubs.

School Tours

You can request a school tour for the Saturday morning of your reunion, available only from 10:00 to 10:30 AM during term times. Please email kog@kambala.nsw.edu.au at least one month before your reunion to make booking inquiries. Tours are not confirmed until approved by the school and contingent on staff availability.

 

After receiving confirmation, please provide a list of attendees at least two weeks before your tour date. A minimum group of 15 is required, and groups larger than 25 may need additional support staff. Boarding house tours can be arranged alongside a school tour but require permission from the Director of Boarding and are subject to the Head of Boarding’s discretion on the day of the tour.

Venues

Research various venues and ensure you consider all associated costs, including venue hire, food and beverage packages, parking, transport, security, and closing times. Keep in mind that expensive events may discourage attendance, so aim for inclusivity. Some venues allow for prepaid food, with attendees paying for their own drinks at the event. Note that Kambala hosts an extensive annual events program, so any reunion requests for on-site gatherings are subject to availability and incur RSA waitstaff charges, maintenance, security, and cleaning fees on top of catering costs.

Budget

Estimate a budget per person, adding around $10 for miscellaneous expenses such as decorations and photos.

Payment

Set up a Humanitix or Trybooking link in your invitation to streamline payments and avoid collecting money at the event.

Invitation

Create a high-resolution digital invitation and email it to the Alumnae Relations Manager for posting on KOG’s Instagram, Facebook, and LinkedIn groups. Canva is a useful to help you create this!

KOG Support

The Alumnae Relations Manager is happy to assist by providing your class list and promoting your JPEG-formatted digital invitation on KOG's social media platforms and via email to your cohort. However, please note that the organisation of all other reunion details will be up to you.

Roles

As a reunion organizer, your roles include:

  • Contacting classmates and creating a WhatsApp or Facebook group

  • Managing the budget

  • Creating the invitation

  • Following up on RSVPs and liaising with your cohort

  • Encouraging classmates to share photos or memorabilia

  • Organizing decorations, music, name badges, and photography

Photos

After the reunion, send 1-2 high-resolution photos (minimum 1 MB) in JPEG format, along with a brief write-up (up to 150 words) about your reunion, to kog@kambala.nsw.edu.au for the next Soubeiran. Ask your cohort for permission to share their updated contact details with KOG, and provide an updated spreadsheet to help maintain our database.
